How to Take Card Payments Over the Phone as a UK Business

For UK merchants using Shopify Payments, withdrawals are largely automated, but there’s still a setup process to complete, a payout schedule to understand, and a few things that can hold your funds up if they’re not in order.

Head to your Shopify admin and go to Settings → Payments.1
This is your central hub for everything payout-related. From here, you can view and update your bank account details, check your payout schedule, and see the status of recent disbursements.
If you haven’t activated Shopify Payments yet, you can do so from the Payments settings page.
Shopify Payments is currently available to stores that operate in certain countries and regions, including the UK, and is worth setting up if you haven’t already. Using it avoids the additional transaction fees Shopify currently charges for orders that are processed through Shopify Payments, Shop Pay, Shop Pay Installments and PayPal Express.9
Before Shopify Payments releases funds to your bank account, it needs to verify who you are and confirm your business details. This is a regulatory requirement for UK merchants.
Shopify and its banking partners are currently required to collect and verify information about you and your business, to comply with regulations in the United Kingdom that are designed to prevent financial crimes.2

Shopify Payments in the UK currently requires a bank account that is held at a financial institution based in the United Kingdom, is in GBP currency, and is eligible for Faster Payments Service transfers.2 The following account types are not supported:2
Although non-Shopify virtual accounts are supported, you can experience more payout failures with these accounts.

Once verified, you can choose how often Shopify pays out your available balance.
Your payout schedule currently determines when funds from sales are transferred to your bank account.3
Your options are daily, weekly or monthly.3
In the UK, the minimum settlement time is currently 3 business days – the time between a customer’s payment being captured and when those funds are available to be sent to your bank account.4
Once Shopify initiates the transfer, banks typically require a further 24–72 hours to process and deposit the funds into your account.4
Choose your schedule based on your cash flow needs. Daily payouts suit businesses with regular outgoings; weekly or monthly may be easier to reconcile if you prefer batching your bookkeeping.
Once your schedule is set, Shopify handles disbursements automatically. You don’t need to manually request a transfer.3
Payments captured on Friday, Saturday, and Sunday are consolidated into a single payout.4 This means weekend sales don’t get processed individually, instead they’re bundled and sent together.
A few things affect whether funds are included in a given payout:
If you sign up for a Shopify Balance account, your main Balance account is automatically set as your Shopify Payments payout account.
Payouts from Shopify Payments can currently arrive in your Shopify Balance account within 1 business day from the transaction processing date, and using your main Balance account lets you receive money from your Shopify sales up to 7 days earlier than a bank.10
Note that Shopify currently states that it is a tech company, not a bank.10
You can monitor your payouts directly from the Shopify admin.
Go to Settings → Payments, then in the Shopify Payments section, click View payouts to view your payouts.4
For a more detailed breakdown, go to Analytics → Reports and filter by Categories → Finances, or use the Finance Summary report. This shows an overview of your sales, payments, gift cards, tips and gross profit data for the selected time frame, which can be useful for reconciliation.5
If you use Shopify Payments, you can also review the payout reconciliation report, which gives you a reconciled breakdown of your Shopify Payments balance activity, fees and payouts.5

Shopify payouts don’t always arrive on schedule. Here are the most common causes and what to do about them.

If you’ve recently updated your bank details, your payouts are paused for 3–5 business days to protect against fraud. | Review your bank details in Shopify admin and update them if needed.1,7 |
| Negative balance | If refunds or chargebacks exceed your sales in a given period, your balance may go negative. Shopify payouts can be delayed until this balance is offset by future sales or, if applicable, until your bank account can cover the negative amount. | Check your Shopify Payments balance and recent refund or chargeback activity.3,6 |
| Weekend and bank holiday timing | Payout schedules use business days only. Weekends and holidays don't count toward your settlement time. | Allow extra time around weekends and bank holidays before treating a payout as delayed.3 |

Shopify currently charges a small fee to allow you to accept major credit cards, such as Visa and Mastercard, as payment in your store. These fees vary depending on the plan that you choose. The Shopify UK pricing page currently lists online standard card rates of 2% + 25p GBP on the Basic plan, as well as third-party transaction fees of 2% on the Basic plan when you use a third-party payment provider instead of Shopify Payments.11
If you sell in currencies other than British pounds, Shopify Payments can currently support payouts in multiple currencies for UK stores on the Advanced Shopify plan or the Shopify Plus plan.4
If orders are placed in a currency not set up on your Shopify Payments account to receive payouts, they are paid out to your default currency bank account, and if that account is in a non-domestic currency, you incur a currency exchange fee.4
Shopify Payments in the United Kingdom currently lists USD as a supported payout currency when using Multi-Currency Payouts.4,12
