How to apply for a virtual office

Most virtual office providers allow you to apply online. Once you have prepared the required documents and completed payment, the service may be available in as little as one to two working days. The actual timeframe depends on the provider's review process. Although the process varies by provider, it generally involves the following steps:

  1. Choose a plan and address⁷: consider your business needs, target customers and budget when comparing the addresses and plans available. Choose a provider with a valid Trust or Company Service Provider (TCSP) licence to avoid the compliance risks associated with using an unlicensed provider.
  2. Submit the application and documents⁷˒⁸: licensed providers must conduct customer due diligence under the Anti-Money Laundering and Counter-Terrorist Financing Ordinance. Applicants are usually asked to provide:
    • Copies of the identity documents of the company's directors and beneficial owners
    • Personal proof of address issued within the past three months, such as a utility bill or bank statement
    • For an incorporated company, its Business Registration Certificate, Certificate of Incorporation, Articles of Association and relevant registration documents
  3. Sign the agreement and make payment: once you have confirmed the terms of service, sign the service agreement and pay the initial service fee and deposit.
  4. Activate the service: once the process is complete, the provider will issue a confirmation document. You can then use the address for business registration, company incorporation, or on company documents and marketing materials. Confirm the arrangements for collecting or forwarding mail and receiving arrival notifications so that you do not miss important official correspondence.

Can you use a virtual office for business registration?

A virtual office can be used for business registration. Under the Companies Ordinance (Cap. 622) and the Business Registration Ordinance (Cap. 310), locally incorporated companies and people carrying on a business in Hong Kong must provide a registered office address and place of business in Hong Kong⁹˒¹⁰. The legislation does not require the address to be a dedicated physical office, so using an eligible virtual office address for business registration is legal.
