Getting paid to your Wise Business by invoice

If you have a Wise Business account, you can create and send invoices directly from your account to help you get paid faster.

You will need to have account details in at least one currency to start using this feature.

Creating invoices

You can create a new invoice from scratch, copy a previous invoice to save time, or customize customer details for future use.

As you enter information, your invoice live preview will update on the screen in real-time.

How do I create an invoice from scratch?

  • Log in to your Wise Business account.

  • Go to Payments, select Create invoices, and then select New.

  • Type the name of your customer and enter their details.

    • Make sure you enter their email address, if you want us to email the invoice to your customer.

  • Add the items you have sold, including a product description, unit price, quantity, and taxes.

  • Once all details are correct, select Review.

  • Choose to either create and send the invoice to your customer automatically, or just create the invoice without sending it.

How do I add taxes to an invoice?

  • While creating your invoice, select Add tax.

  • Enter a name for the tax and the percentage rate.

  • If you have already factored tax into your item price, select Included. Otherwise, choose Excluded and our system will add the tax to the final total automatically.

How do I add a logo to an invoice?

You can add a logo to your invoice. This will be the same image as your Wise Business profile picture. It will appear on the invoice PDF, the payment link, and the email we send to your customer.

To upload or change the logo you can either:

  • Go to your business profile page by selecting your account name in the top right corner.

  • Select the camera icon on the invoice preview screen.

Note: Only users with manage business details permissions can upload a logo.

How do I duplicate an invoice?

You can easily copy a previous invoice:

  • Go to Payments and select Create invoices.

  • Select the specific invoice you want to duplicate from your list.

  • Choose Make a copy and confirm your new invoice number.

  • Your new invoice is now ready to edit. You can modify any details before sending.

How do I change the currency of an invoice?

When you create an invoice, you can choose the currency you want to be paid in. We will make sure the payment link for your invoice takes payment for the correct currency.

For example, if you need to get paid in EUR and you select bank transfer as a payment method, we will automatically add your EUR account details to your invoice.

To change the currency:

  • Start creating a new invoice or editing a draft.

  • Look for the currency selector — a flag icon with the currency code next to it, such as USD, EUR.

  • Select the icon to choose another currency from the list.

How do I change the language of an invoice?

The language of your invoice is determined by the customer profile you send it to. You can save an invoice language preference with each of your customers.

Just change the Language setting while saving a new customer's details, or follow the steps below to edit an existing customer's profile and save your changes.

Managing saved customer profiles

Each time you enter details for a new invoice, we automatically save that customer's profile so you can quickly invoice them again without re-entering their data.

How do I save a new customer's details?

  • On the invoice creation screen, enter the customer's name into the Customer field and select Add.

  • Fill in their core details, including their name and email address.

  • To add a billing address, select Additional details, then select Add new.

  • Use the Language setting to choose your customer's preferred language. We will generate both the invoice PDF and the automatic email in the language you select here.

  • Select Save.

How do I edit or delete a customer's details?

  • On the invoice creation screen, select the Customer field and choose the customer you want to update — you can type their name to search quickly.

  • Once their details appear on the invoice layout, select Change, then select Edit customer.

    • To edit: Update the fields and select Save.

    • To delete: Select Delete, then select Delete customer to confirm.

Keep in mind: Any changes you make will only apply to future invoices. They will not affect any invoices you have already created for this customer.

Getting paid for invoices

You can choose which payment options you want to offer your customer during the setup process.

  • Go to Payments, select Create invoices, and select New.

  • In the Payment section, select Payment methods to toggle your preferences.

The specific payment methods available to you depend on the status of your Wise Business account and your business's registered address.

Important: If your customer pays via bank transfer, explicitly ask them to include either the invoice number (e.g. INV-2026-01) or the unique payment reference number (e.g. 123456) in their bank's reference field. They must not include both. Entering both numbers can cause system mismatches and delay the processing of your money.

How do I track and manage invoice statuses?

Our system tracks your invoices across several distinct states. You can view and filter these by navigating to Payments and selecting Create invoices. You can filter by paid, due, overdue or expired.

How to mark an invoice as paid?

When your customer pays the correct amount using the invoice link, or provides the correct reference via bank transfer, we will mark it as paid automatically. We aren’t always able to mark invoices as paid automatically, especially if your customer doesn’t include the invoice reference.

To mark an invoice as paid manually will need to:

  • Go to Payments, select Create invoices.

  • Locate the relevant invoice in your Upcoming list and select it.

  • Select the Mark as paid button.

  • Confirm your choice in the dialog box.

Keep in mind: Once an invoice is marked as paid, it is finalised. You cannot reopen it or revert it back to an unpaid status.

Troubleshooting

Why is my invoice still showing as unpaid?

This typically happens if your customer forgot the invoice reference number during their bank transfer. You can follow the manual steps above to mark the invoice as paid yourself. If you believe our system should have matched the payment automatically, please get in touch with our Customer Support team.

Why has my invoice disappeared from my list?

If an invoice is no longer in your Upcoming list, it has moved to your Past list for one of two reasons:

  • It was marked as paid: Our system may have automatically detected the payment, or another team member with account access marked it manually.

  • It expired: Invoices expire automatically 90 days after they are created.

To view these, simply toggle your view to the Past invoices list.

Why can't I see the option to add or change a logo on my invoice?

If you cannot see the option on your profile or the camera icon on the preview screen, check your user settings. You must have permissions to manage business details to change or upload a company logo.
