How the Wise - Xero integration works

To get started, connect your Xero account to your Wise account. Once connected, you can manage the following features from your Connection settings:

  • Import bills to Wise 

  • Mark bills as paid in Xero 

  • Bank feeds

  • Transactions with Attachments 

  • Expenses with Receipts


Bank Feeds

Bank feeds let you sync your Wise activity directly with Xero. To see your Wise transactions (bank statement lines) in Xero, you need to connect each Wise currency you want to sync to a Xero account.

If you didn't connect your currencies during the initial setup, you will need to do this:

  1. Open your connection settings and go to Currency settings

  2. Find the Wise currency (for example: USD, GBP, EUR) you’d like to connect and click Select

  3. Choose an existing Xero bank account to connect with, or create a new one.

If you create a new account, Xero will automatically add it for that Wise currency within your Xero organisation. Learn more about adding a bank account or credit card account to Xero

You can only connect one Wise currency with one Xero account within a Xero organisation. If you try to sync two Wise currency with Xero accounts with identical names (for example both accounts named "Wise Bank" or “USD”), you'll encounter an error as Xero requires each account to have a unique name within the organisation.

If you previously used a name for an account in a Xero organisation and then archived or deleted it, you can't reuse that name.

How often does my data sync?

When setting up your connection we will ask you how often you want your account to be synced with your accounting software.

You can choose how often their data syncs from the below options:

  • Every 4 hours

  • Daily (choose the hour)

  • Weekly (choose the day and hour)

  • Monthly (choose the date and hour)

To change the sync frequency:

  1. Go to Accounting integrations.

  2. Click on the Xero software connection.

  3. Go to Bank feed.

  4. Click View sync settings.

  5. Under Configurations, use the drop-down to choose how often to sync.

  6. Set the hour or date, based on the option chosen.


Document Sync

This feature automatically sends invoices and bills attached to your Wise transactions to Xero. These will be stored as Draft Bills or Draft Invoices in Xero, awaiting your review and publication. 

Once you turn this feature on, any transaction attachments from connected currencies and jars will be synced to Xero where it will create draft bills and invoices. You just need to review and publish them. 

To use this, Document sync in the Bank feed settings must be enabled.


Importing bills to Wise 

This is only available for business in the UK at the moment. You can see your unpaid bills in real time and pay them from Pay Invoices. 


We won't import any bills you mark as paid in Xero. It means if you paid a bill through another provider and haven’t marked it as paid in Xero, it's still going to be visible in your Pay Invoices page on Wise.

When you pay a bill through your Pay Invoices page on Wise, we’ll automatically mark it as paid for you in Xero. This requires a Xero plan that supports multi-currency. How to turn on multicurrency in Xero.


Expenses

To use this feature, you must first turn on Expenses in your connection settings. This feature requires a Xero plan that supports multi-currency. How to turn on multicurrency in Xero.

Once active, you and your team can manage card expenses seamlessly:

  • Upload receipts on the go: Cardholders can scan and upload receipts directly to their Wise card transactions as soon as they spend.

  • Automated syncing: Your Xero chart of accounts, VAT rates, and Contacts sync automatically with Wise.

  • Smart categorisation: Your bookkeeper can review and categorise each expense easily using AI-powered smart categorisation.

  • Automatic expense syncing: Turn on auto-sync to send cardholder submitted card expenses directly to Xero using default categorisation, or review each expense before syncing for more control.

Automatic syncing (optional)

Instead of manually marking expenses as ready and syncing them, you can enable automatic syncing. When turned on, cardholder-uploaded expenses sync to Xero automatically as soon as a receipt is uploaded, using your default expense account and vendor (Xero contact).

To enable automatic syncing:

  1. Go to Settings, then choose Accounting integrations and Manage Xero

  2. Under Expense settings, select Manage

  3. Toggle on Auto-sync expenses to Xero

Advanced Settings

Advanced settings aren't available for new customers. If you don’t see this feature under the connection settings, it means we can’t provide it.

These settings provide additional customisation options, allowing you to:

  • Sync Bill and Invoice Payments: Automatically marks bills and invoices as paid in Xero when paid through Wise. We'll match bills and invoices by the recipient name, amount, and reference.

  • Record Other Transactions as Expenses: Record Wise payments without a bill or invoice as an Expense in Xero.
